Position Overview: The Development Associate – Donor Relations and Data Management will provide essential support to the Development Director and leadership team, ensuring the effective management of donor communications, database maintenance, and reporting. This position will be key in maintaining donor relationships, handling inquiries, and assisting with data-driven fundraising strategies.
Key Responsibilities:
The Development Associate is responsible for performing a wide range of donor services including:
- Responding to donor inquiries via phone, email, website, postal mail, and in-person
- Accepting, entering, reconciling donor data in a timely and professional manner
- Acknowledging and reporting donations and event registrations
- Entering demographic data into the CRM/database
- Importing demographic, donation, and event participation files from external vendor(s) and the Sacred Heart Center website as needed
- Providing coordination and assisting at special event(s) as needed.
- Other Duties as Assigned.
Essential Functions include, but not limited to:
- Donation Entry and Reconciliation
- Enter gifts and pledges according to pre-established timelines and deadlines into the donor database, verifying the quality of data entry from all sources and resolving problems regarding the data.
- Monitor credit card transactions, ensuring Payment Card Industry compliance (through third-party vendors) weekly.
- Manage the matching gift process
- Pledge set up, maintenance, and reporting MULTIYEAR pledges
- Process deposits (minimum weekly)—credit card, check and other forms; update and manage gift log and deposit reconciliation; submit deposit slip and check copies for bookkeeper/Accountant
- Research and problem-solve issues that arise via financial and database applications. Escalate issues to the Director of Development as needed.
- Research and submit donation adjustments/discrepancies
- File gift documentation, as needed (by deposit date)
- Provide periodic reporting to the accountant as required
- Provide administrative support to the Neighborhood Assistance Program donor benefit application process

Experience and Attributes:

- Bachelor’s degree in Business Administration, Communication, Nonprofit Management or a related field preferred.
- 1-3 years of experience in nonprofit development and donor relations
- Superior organizational skills and attention to detail
- Self-starter and highly motivated
- Highly organized, analytical, IT-competent – proficient in Microsoft Office programs
- Excellent verbal and written communication skills with exceptional attention to detail, a strong customer service focus, excellent follow-up, and an ability to work with diverse groups in a courteous and professional manner
- Ability to work independently, organize, and prioritize assignments.
- Strong problem-solving and project-management skills
- Knowledge of Bloomerang (CRM database) preferred
- Ability to perform several tasks concurrently, time management and organizational skills
- Personal qualities of integrity, credibility, and a commitment to and passion for SHC’s mission. Mature judgement and the ability to maintain confidential information.

There are several events throughout the year that occur on evenings or weekends that the candidate must attend.
