Position Overview

The Bilingual Adult Education Programs Assistant provides planning, implementation, administrative, and supervisory assistance and support to the Adult Education Programs Coordinator and the Adult Education teaching team within the Adult Education portfolio at Sacred Heart Center, which includes English as a Second Language, GED in Spanish, Citizenship, Spanish literacy, Conversational Spanish, Latino Leadership Institute, and computer literacy. The Bilingual Adult Education Program Assistant also ensures that all evening programs at our Perry Street campus, including children’s programs, run smoothly and safely. This position reports to the Adult Education Programs Coordinator and works as part of a team that includes the Lead GED Teacher and GED subject matter teachers, the Lead ESL teacher and volunteer ESL teachers, and the Satellite Site Facilitator.

Key Responsibilities

The Bilingual Adult Education Programs Assistant will have the following primary responsibilities:

  • Serve as the key point of on-site contact and support for all Sacred Heart Center teachers, volunteers, and staff during evening classes and programs at the 1400 Perry Street campus, Monday through Thursday, 5-9pm; administer building and classroom opening/closing protocols; coordinate setup and troubleshooting of technological tools (computers, projectors etc) and ensure programs have all of the supplies they need to operate.
  • Review and process all incoming Adult Education phone, voicemail, email, social media, in-person, and message correspondence and inquiries, either directly or by referring to the appropriate Adult Education team member and/or the appropriate person of contact at the Center for services unrelated to education.
  • Assist in planning, implementing, and administering the semester registration and enrollment process for all Adult Education programs, including staffing evening hours, giving and/or evaluating student placement exams, processing payments and financial record-keeping, ensuring the accuracy of the registration information, and generating rosters for all classes.
  • Ensure that the teaching team is collecting and uploading class data (enrollment, attendance, retention, progress against benchmarks, student surveys) to the database in a timely manner throughout the semester; assist the Adult Education Coordinator in tracking outcomes and analyzing data to measure impact and evaluate programs.
  • With the Adult Education Coordinator, participate in and/or lead teacher meetings and trainings as needed; assist the Adult Education Coordinator in observing and/or evaluating Sacred Heart Center classroom staff, both paid and unpaid, to ensure the quality of the programs.
  • Assist with curriculum planning and lesson planning, as needed, for all programs included in the Adult Education portfolio.
  • Work as part of a team with other Sacred Heart Center staff to accomplish overall organizational goals.

Experience and Attributes

  • Bachelor’s Degree and at least 2-3 years of experience in Adult Education or English as a Second/Foreign Language, or related experience.
  • Bilingual advanced proficiency in Spanish and English required. Bicultural preferred.
  • Ability to work on-site at our 1400 Perry Street campus Monday-Thursday from 5-9pm is required.
  • Highly organized, analytical, IT-competent proficient in Microsoft Office programs, the Google work suite, Apricot case management software, and ability to learn new programs as needed.
  • Ability to organize and maintain detailed records, including correspondence notes, complete necessary paperwork, and meet deadlines.
  • Exemplary record of strong communication and interpersonal skills and customer service focus, excellent follow-up, and an ability to work with individuals with diverse backgrounds and experiences in a courteous and professional manner.

Schedule: 16 of the 40 hours must be performed Monday through Thursday from 5 to 9 pm at the 1400 Perry Street campus. The schedule for and location of the other hours is negotiable, including remote options, but must include additional daytime hours every day.
