Job Title: Part Time Receptionist/Intake Specialist- Evening Shift

Hours: Mon-Thurs- 4:00pm-9:00pm

Position Overview
The Receptionist/Intake Specialist plays a pivotal role in ensuring a warm and welcoming environment, providing support to all programs in alignment with Sacred Heart Center’s mission, values, and vision.

Responsibilities and Tasks:
The Receptionist serves as the first point of contact for visitors at the Sacred Heart Center during regular business hours. The Receptionist will handle incoming calls and inquiries, providing assistance directly or routing them to the appropriate staff member. The Receptionist will also support registration and intake processes across all program portfolios, which include Adult Education, Youth Programs, and Community Initiatives.

This position encompasses a wide range of responsibilities including but not limited to the following:

Offer friendly, professional, useful, and compassionate customer service to individuals visiting or seeking services and/or assistance from Sacred Heart Center.
Respond to in-person inquiries, phone calls, emails, and voicemails by providing pertinent information and/or referring to appropriate staff or taking messages when necessary. Receive deliveries and manage distribution.
Provide building and program administration support:
Preparing the building for the classes, programs, and meetings of the day; set up for special events. Work in collaboration with Sacred Heart Parish staff to monitor door camera and unlock door for visitors.
Evening receptionist: Ensure classrooms are set up for evening classes, programs, and meetings. Monitor door camera and open door for visitors. At the end of the evening, ensure building is shut down and secure.
Assist Adult Education and Youth Programs in processing student payments according to protocols for class and program fees and textbooks.
Make appointments for seminars, tax site, vaccination clinics, powers of attorney, registration and as needed using data collection system provided by program coordinator.
Make reminder calls to participants registered in seminars and events
Provide intake/outreach support to programs and ensure accurate data collection/records maintenance
Other duties as assigned

Building & Program Support:
Depending on shift assignment (Day or Evening), responsibilities may include:
Day Shift: Prepare the facility for daily classes, programs, and events; assist with setup and coordination for special events. Work alongside Sacred Heart Parish staff to monitor the building entrance and manage visitor access.
Evening Shift: Ensure all classrooms and meeting spaces are ready for evening programs. Greet and admit visitors via the door camera system. At times, at the end of the evening, help secure and close the building.
Assist with student payments for classes, program fees, and textbooks in coordination with Adult Education and Youth Programs.
Schedule appointments for seminars and other community initiatives (e.g., tax site, clinics and vaccination events) using provided data collection systems.
Support outreach and intake processes to ensure accurate data collection and effective record-keeping.
Other duties as assigned.

Experience and Attributes:

Bilingual in Spanish and English required. Bicultural preferred.
High school graduate or equivalent. Associate’s degree or above preferred.

Proficient in multiline telephone systems and use of computers and digital word processing tools such as Microsoft Office and Google Suite, as well as experience with Apricot database management software or similar program; the willingness to learn other software programs as needed.
